Membership Terms and Conditions.

These terms and conditions are entered into by and between Base 13 (hereinafter: “Base 13”) and You (hereinafter: “the Member”).

1. Services
​The membership entitles the usage of the Base 13 services available.

2. Membership
​The membership is personal, and cannot be shared.

3. Age Limit​
The Member confirms that they are 18 years old or older.
For persons 16 or 17 years old, exceptions are granted based on a written parental consent.
Persons under 16 years of age must be supervised at all times.

4. Health & Medical Declaration
By entering into membership with Base 13, the Member confirms that:

- They are in good physical condition and know of no medical or other reason why they should not engage in physical exercise.
- They do not suffer from any condition that would make participation in exercise unsafe or harmful to their health.
- If they have any medical condition, injury, or concern that may affect their ability to exercise safely, they will seek advice from a qualified medical professional prior to participation.


If, during the course of membership, the Member:

- Sustains an injury,
- Develops a medical condition,
- Is prescribed or begins taking any medication that may affect exercise performance, blood pressure, heart rate, blood sugar levels, hydration, recovery, coordination, mood or general wellbeing (including, but not limited to, weight-management medications such as GLP-1 receptor agonists, beta blockers, selective serotonin reuptake inhibitors (SSRIs), or any other medication that may influence physical or mental performance),

Or becomes pregnant,


They must inform a member of Base 13 staff before participating in any further sessions or booking their next session.

Where a Member’s health status or physical condition changes, Base 13 may require the Member to undertake a consultation (in person or remotely) with a coach prior to returning to training. This consultation is intended to discuss the Member’s circumstances and provide general guidance on a safe and appropriate return to exercise.

Base 13 reserves the right to temporarily restrict participation in certain activities until such discussion has taken place.
Members acknowledge that it is their responsibility to monitor their own physical condition throughout training and to stop exercising immediately if they feel pain, dizziness, discomfort, or any other symptoms of concern, and to notify a member of staff.

Base 13 does not provide medical advice. Any fitness assessments, screenings or performance tests conducted by Base 13 are for the purpose of tracking progress and designing appropriate training programmes only. They are not medical examinations and are not intended to diagnose, treat or prevent any medical condition.

During open gym sessions where no coach is present, Members train at their own risk and must only perform exercises they are competent to execute safely.

5. Liability for Damage
Members are responsible for any loss or damage caused to Base 13 property, equipment, facilities, or to other Members or staff, where such loss or damage arises from the Member’s negligent, reckless, or deliberate act or omission.

Base 13 reserves the right to recover the reasonable cost of repair or replacement upon presentation of an itemised statement.

6. Assumption of Risk & Limitation of Liability
Members acknowledge that strength training, functional fitness, weightlifting, and use of gym equipment involve inherent risks, including (but not limited to) muscle strain, joint injury, falls, impact injuries, equipment malfunction, and in rare cases more serious harm.

By participating in training and using the facilities, Members voluntarily accept these inherent risks.
Members agree to:

- Use equipment only where they understand its appropriate and safe use;
- Follow staff instructions and safety guidance at all times;
- Refrain from attempting exercises beyond their level of competence.

Nothing in these Terms excludes or limits Base 13’s liability for death or personal injury resulting from its negligence, fraud, or any other liability that cannot be excluded under applicable law.

Subject to the above, Base 13 shall not be liable for:

-Injuries arising from the inherent risks of exercise;

- Injuries resulting from misuse of equipment or failure to follow safety instructions;

- Loss, theft, or damage to personal property brought onto the premises, unless caused by Base 13’s negligence.

7. Open Gym & Unsupervised Training
During open gym sessions or at any time where no coach is directly supervising the Member, training is undertaken at the Member’s own discretion.

Members must:
Inform a member of staff when attending an open gym session.
Only perform exercises they are competent and confident to execute safely.
Use equipment in accordance with its intended purpose.
Refrain from attempting lifts or movements beyond their technical capability.
Ensure appropriate safety measures are in place (e.g., use of clips, appropriate load selection, safe box height selection, etc.).

Base 13 reserves the right to restrict or prohibit certain activities during unsupervised sessions where it considers there to be a heightened safety risk.

8. Lockers and Storage
Lockers and storage cupboards are provided for Members’ convenience while they are present in the facility.
Lockers are for temporary use only and must be emptied at the end of each visit. Base 13 reserves the right to open and clear any locker that is locked or occupied after the Member has left the premises.

Base 13 accepts no responsibility for items stored in lockers or elsewhere on the premises, unless loss or damage arises as a result of Base 13’s negligence.

Members are advised not to bring valuables into the facility.

9. Lost Property or Theft
Any personal items left on the premises will be retained for a period of two weeks. After this period, unclaimed items may be donated, recycled or disposed of at Base 13’s discretion.

While reasonable care is taken with lost property, Base 13 accepts no liability for items left unattended on the premises unless loss or damage results from Base 13’s negligence.


10. Code of Conduct
Members agree to conduct themselves in a respectful, responsible, and safe manner at all times while on Base 13 premises or participating in Base 13 activities.

Members must:
Treat staff, coaches and other Members with respect and courtesy.
Follow all safety instructions and gym rules.
Use equipment appropriately and return it after use.
Maintain appropriate hygiene and attire suitable for training.
Refrain from behaviour that is unsafe, abusive, discriminatory, intimidating or disruptive.
Not attend or participate in training while under the influence of alcohol, illegal drugs, or any substance (including misuse of prescription medication) that may impair judgement, coordination, reaction time or safe participation.


For health and safety reasons, coaches reserve the right to refuse participation in any session and/or require a Member to leave the premises if they reasonably believe the Member is intoxicated or otherwise unfit to train safely.

Any such incident may be treated as a breach of the Code of Conduct and may result in suspension or termination of membership in accordance with these Terms.

Base 13 operates a zero-tolerance policy towards harassment, abusive language, threatening behaviour, discrimination, or deliberate damage to equipment. See our full Code of Conduct policy.

11. Suspension or Termination of Membership
Base 13 reserves the right to suspend or terminate a membership where a Member:
Breaches the Code of Conduct;
Engages in behaviour that puts themselves or others at risk;
Causes damage to equipment or property;
Fails to follow reasonable staff instruction;
Engages in conduct that may harm the reputation or safe operation of Base 13.


Where appropriate, Base 13 may issue a verbal warning, followed by a written warning, prior to suspension or termination. However, in cases involving serious misconduct, unsafe behaviour, or risk to others, membership may be suspended or terminated immediately.

Any decision to suspend or terminate membership will be reasonable and proportionate in the circumstances.

12. Access & Security
Classes and coaching sessions are available in accordance with the schedule published on the Base 13 booking system. Class times, instructors, and session formats may be subject to change where reasonably necessary, including for operational, safety or staffing reasons.

While last minute changes may occasionally be made without prior notice, Base 13 will endeavour to communicate any significant changes to Members as soon as reasonably practicable.

Access to the facility is permitted only during designated opening hours and in accordance with the Member’s membership type.
Members must not:
Permit access to non-members;
Share access codes or entry credentials;
Allow unauthorised persons to enter the facility;
Remain on the premises outside permitted hours.

For security purposes, Base 13 may operate CCTV within the facility in accordance with applicable data protection legislation. Further details are set out in the Privacy Policy.

13. Late arrival
The member is expected to arrive at least 5 minutes before the session start time.
Any members who arrive 15 minutes or later after the session start time will not be permitted to join the session and their credit will still be deducted.
Members that arrive after the first block has started will still be required to complete the warm-up in full and the first part of the members session may be adjusted to allow for minimal disruption ( ie. only using kettlebells or dumbbells for your first strength piece).

14. Booking, Cancellations & Waitlist Policy

a. Personal Training (1:1)
Cancellation / Rescheduling Notice
Members must provide a minimum of 24 hours’ notice to cancel or reschedule a Personal Training session.
Rescheduling is subject to coach availability.

*Late Cancellation or No-Show
Cancellations made with less than 24 hours’ notice will result in the loss of the session credit.
Failure to attend a scheduled session without notice will also result in the loss of the session credit.


b. Small Group Personal Training & Team Training
Cancellation / Rescheduling Notice
Members must provide a minimum of 6 hours’ notice to cancel or reschedule a session.

Early Morning Sessions (6am–9am)
For sessions starting between 6:00am and 9:00am, a 9-hour cancellation window applies:
6:00am sessions must be cancelled by 9:00pm the night before
7:00am sessions must be cancelled by 10:00pm
8:00am sessions must be cancelled by 11:00pm
9:00am sessions must be cancelled by 12:00am


15. Late Cancellation or No-Show
Cancellations made outside the applicable window will result in the loss of the session credit.
Failure to attend without cancelling will be recorded as a no-show.
A penalty fee may be applied in accordance with the Penalty Fee section below.

a. Penalty Fees
Base 13 operates a structured penalty system to ensure fairness, availability, and responsible booking behaviour.

Late Cancellation Fee: £3
(Applied where cancellation occurs outside the applicable notice period.)

No-Show Fee: £5
(Applied where a Member fails to attend a booked session without cancelling.)


Each Member is permitted one (1) grace late cancellation within any rolling 30-day period.
The 30-day period is calculated from the date of the Member’s previous late cancellation.
Grace cancellations do not apply to no-shows.

Penalty fees are applied automatically via the booking system and will be charged to the Member’s account.
Penalty fees are not intended to be punitive but to encourage responsible booking and allow fair access to classes. Base 13 reserves the right to amend penalty amounts with reasonable notice.

16. Waitlist Policy
Where a class is fully booked, Members may join the waitlist.
By joining the waitlist, Members confirm they are available to attend the session should a space become available.
If a space becomes available more than 13 hours before the class, Members will be automatically moved into the class and standard cancellation rules will apply.
If a space becomes available less than 13 hours before the class, the Member will be notified and given a 30-minute window to accept the space before it is offered to the next person on the waitlist.
If a Member is moved into a class from the waitlist and fails to attend without cancelling within the applicable window, this will be treated as a no-show and fees will apply.

17. ​30 Day Trial
The 30-Day Trial is a one-off single offer for new clients. There is no monthly fee and the client is under no obligation to sign up to any services following the 30 days.
The 30-Day Trial will start from the date of the first session and will expire 30 days from that point.
It is the client’s responsibility that they can manage their diaries to attend the sessions within this time frame.
Base 13 is not responsible for any unused sessions at the end of the 30 days and has no obligation to refund the unused sessions or extend the trial.

18. Monthly membership
Monthly memberships are charged on or around the 1st working day of each month. The membership extension is triggered by the payment of a subsequent month.

All sessions must be used between the first and last day of the calendar month and will expire at the end of the month.

Base 13 does not take responsibility for any unused sessions, these will be invalid for the following month and no refund given.

If no payment is made, the membership stops at the end of the contracted month.

Base 13 will attempt to collect payment on up to three (3) consecutive working days where a payment attempt fails. If payment remains unsuccessful, the full membership fee for that billing period will remain due and payable.

​19. Membership Changes, Freezes & Termination

19.1. Upgrades and Downgrades
Members wishing to upgrade or downgrade their membership must submit a written request via the appropriate request form.
Requests must be received by the 14th of the month preceding the month in which the change is to take effect.
Requests received after this date may not be processed in time for the following billing cycle and may result in charges for the subsequent month.

Memberships cannot be downgraded:
During an active freeze period;
During a notice period following a termination request.
Upgrades may take effect immediately or from the next billing cycle, subject to administrative processing.

19.2. Membership Freezes
Members may request a temporary suspension (“freeze”) of their membership by submitting the appropriate Freeze Request Form.
Freeze requests must be received by the 14th of the month preceding the month in which the freeze is to commence. Late requests may not be processed before the next billing cycle.
Freeze requests cannot be applied retrospectively.

19.3. Standard (Non-Medical) Freeze
A standard freeze may be requested for temporary absences such as travel or personal commitments.

Standard freezes:
Are permitted for a maximum of one (1) month per calendar year;
Require payment of 50% of the applicable monthly membership fee during the freeze month;
Upon resumption, the Member will receive a 50% discount on the first active billing month following the freeze.
The discounted return month will be applied automatically and may not be deferred or transferred.
Membership will automatically revert to full membership fees following the discounted month.

19.4. Medical or Exceptional Freeze
In cases of injury, illness, pregnancy, or other medical circumstances preventing participation, Members may request a medical freeze.

Medical freezes:
May require supporting documentation where reasonably requested;
Are granted initially for up to three (3) months;
May be extended at management discretion where appropriate;
Will be reviewed periodically to confirm continued necessity.
No freeze fee applies to approved medical freezes.
During a medical freeze, membership payments will be suspended.

Upon reactivation:
Membership will resume at the Member’s current membership type;
The applicable membership rate will be the rate in effect at the time of reactivation;
Any changes to membership structure or pricing introduced during the freeze period will apply upon return.


Where a Member is unable to return to training for an extended or indefinite period, Base 13 reserves the right to recommend termination of membership in place of continued freeze.

19.5. Restrictions During Freeze
Memberships cannot be downgraded during a freeze period or while a freeze request is pending.
Termination requests submitted during a freeze will take effect once the membership becomes active again and the applicable notice period will apply.
Membership benefits and booking rights are suspended during the freeze period.

19.6 Termination of Membership
Members wishing to terminate their membership must provide 30 days’ written notice via the Membership Termination Form.
Membership fees remain payable during the 30-day notice period. Any scheduled payments within this period will be processed as normal.
If written notice is not received prior to a scheduled payment date, the payment will be processed.
Membership fees are charged on a monthly basis and are not refundable for unused sessions within a billing cycle.
Downgrades are not permitted during a notice period (a notice period being based on the last active month).

20. Exceptional Cancellation & Administrative Termination

20.1. Exceptional Cancellation (Member Request)
Base 13 may, at its discretion, agree to waive the standard notice period in the following circumstances:
Permanent relocation more than six (6) miles from any Base 13 facility, upon provision of reasonable proof of address;
Medical circumstances preventing continued participation, supported by appropriate medical documentation.
Any decision under this clause will be reasonable and proportionate in the circumstances.


20.2. Prolonged Non-Engagement / Administrative Cancellation
Base 13 monitors member engagement to ensure memberships remain active and appropriate.
Where a Member is identified as inactive or “slipping away” (including but not limited to prolonged absence from sessions or lack of engagement), Base 13 will attempt to contact the Member using the contact details provided.
If:
Reasonable attempts to make contact have been made; and
No response is received within sixty (60) days of initial contact,


This process reflects Base 13’s commitment to fair and responsible business practice. Where engagement has ceased and no communication has been received, Base 13 considers it unethical to continue charging indefinitely without confirmation of the Member’s intention to remain active.
Cancellation under this clause will not prevent the Member from re-joining in the future, subject to the membership terms and rates applicable at that time.

21. Price Adjustments
Membership fees are subject to periodic review and may be adjusted annually in line with prevailing inflation rates or operational costs.
Members will be provided with at least one month’s notice of any price changes.
